Fair Use Policy

Last updated: August 2026

TenderHub provides unlimited tender searches, saved search alerts, pipeline tracking, AI-assisted bid drafting, and analytics to subscribed users. To ensure a fair and high-quality experience for all users, this Fair Use Policy applies to all paid subscriptions.

1. Single Organisation Use

Each subscription is licensed to a single organisation. You may not share your login credentials with individuals outside your organisation, or allow multiple organisations to access the platform under a single subscription. The annual plan includes one user; each additional team member must be invited through the platform and requires a separate user seat at £99/year per person. Seats are non-refundable and are billed annually in advance, on the same terms as the primary plan. Each seat's billing cycle is aligned to the primary plan's renewal date — the first charge is prorated to cover the period from purchase up to the next plan renewal, after which the seat renews annually on the same date as the primary plan. If the primary plan is cancelled, any active seats remain in place unless separately cancelled.

2. No Automated Scraping or Bulk Export

You may not use bots, scripts, scrapers, or automated tools to extract, download, or copy tender data from TenderHub in bulk. Manual export of individual tender records for your own business use is permitted, but systematic or high-volume extraction of the platform's data is prohibited.

3. Reasonable Search Usage

Paid subscriptions include unlimited tender searches. However, we reserve the right to apply rate-limiting or throttle accounts that generate an excessive volume of searches in a manner that degrades platform performance or suggests automated activity. This ensures fast, reliable performance for all users.

4. AI Bid Response Generation

AI-assisted bid response drafting is included in your subscription. To manage infrastructure costs and maintain quality, the number of AI-generated responses per user may be subject to reasonable monthly limits. Typical usage for bid teams will not be affected.

5. Email Notifications

Daily tender digests and instant saved search alerts are provided as part of your subscription. Excessive creation of saved searches solely to generate high volumes of email notifications may be limited to prevent abuse of the notification system.

6. Enforcement

Where we identify usage that significantly exceeds what is reasonable for a single organisation's normal business use, we will first notify you and request that you reduce your usage. Persistent or egregious breaches of this policy may result in rate-limiting, suspension, or termination of your subscription without refund.

7. Refunds & Cancellations

The Tender Access Plan is billed annually in advance. All subscription payments are non-refundable. You may cancel your subscription at any time, which will prevent renewal at the end of your current billing period — you will retain access until the end of the term you have paid for. No partial or pro-rata refunds will be provided for unused portions of the subscription term, unused features, or changes in business circumstances.

8. Service Availability

TenderHub is provided on a "best efforts" basis. While we strive to maintain high availability, we do not guarantee a specific uptime percentage or service level agreement (SLA) under the standard Tender Access Plan. The platform may occasionally be unavailable due to scheduled maintenance, updates, or factors outside our control, including third-party data sources, hosting providers, or network issues. We are not liable for any loss, lost opportunities, or damage arising from service interruption or downtime. For mission-critical requirements with guaranteed uptime, please contact us about enterprise arrangements.
